Workday Tracking Time

Overview

All non-exempt SF employees, including those that are part-time hourly, are expected to track and submit their time in Workday weekly. The majority of time entries will be recorded during the check- in and check-out process.

Task: Recording Time

  1. Select the Time app on your Workday home page or menu.
  2. Select Check-In or Check-out.
    Note: When you are checking out, please indicate whether you are checking out for a meal break or out for the day.

Task: Entering Time (Manual Entry)

  1. Select the Time app on your Workday home page or menu.
  2. Select This Week, Last Week, or Select Week to open the calendar view of the week for which you wish to enter time or correct time.
  3. In the calendar view, select the column for each day you want to enter time for, and then enter the following details:
    Time Type
    • Worked Time
    • Emergency Closure Worked
    In Enter the time you clocked in.
    Out Enter the time you clocked out.
    Out Reason Select Out or Meal.
    Comment A comment will be required.

Task: Submitting Time for the Week

  1. Select the week that needs to be submitted.
  2. To submit your timesheet for the week, select Review.
  3. Please verify the information is correct and select Submit.
    NOTE: Your time is not submitted until you select Submit on the second page.

Frequently Asked Questions

Will we still have 7-minute rounding?
Yes, our 7-minute rounding still applies in Workday.

When should we submit our time sheets?
You will receive notifications to review and submit your time sheet on the Monday of the next week. However, there are some exceptions: if going on vacation for the next week, we recommend you submit your time sheet on Friday before you leave.

What is an unmatched check-in error?
When you clock-in without clocking out, or clock out without a prior check-in, you will receive an unmatched check-in box on your time sheet for that day. You can remove this by clicking on it and adding a clock-in or clock-out time.

Can I edit my time after I clock in?
Yes. To edit your time, select a time block in the week and make the appropriate changes.

Do part-time hourly employees clock in and out of Workday?
Yes, they do.
