Workday Entering and Correcting Absences

Overview

All full-time SF employees will enter their Absence (leave) requests through Workday.

Task: Entering Time Off Requests

  1. Select the Absence app on your Workday home page or menu.
  2. Select Request Absence.
  3. Notice your time off balances displayed on the left, select a different Balance as Of Date if you want to forecast your time off balance for a future date.
  4. Within the calendar view, select the date you wish to request time off for. If you are requesting multiple days, you can select the first date you are requesting and drag your mouse to highlight additional days.
  5. Select Request Absence and select from the options available the type of leave you are requesting:
    Type
    • Vacation
    • Sick
    • Personal
    • Judicial

    Please note that these do not reflect all of the leave options available in Workday. Other types of leave are available based on the employee, as well as the
    employee’s role.

    Quantity The quantity will default to your scheduled number of hours per day, employees can adjust the amount of the request.
    Comment A comment can be entered.
  6. Select Submit.

TIP: If the dates you want to request are not in view, go ahead and select Request Absence and you can adjust the dates accordingly.

Task: Correcting Time Off Requests

If you need to cancel or make a change to your time off request:

  1. Select the Absence app on your Workday home page.
  2. Select Correct My Absence.
  3. Within the calendar view, find your existing request and select it.
  4. If your request has been approved, you can either use the subtract button or change the daily/hourly quantity to 0 to delete the request.
  5. If your request has not yet been approved, you can use the same actions to change the request, or select Cancel if you wish to cancel the request.
  6. Select Submit.

Frequently Asked Questions

Will we need to input holidays?
No, Workday has a pre-loaded holiday calendar.

If we have to take an unexpected day off, can we go back and add the absence?
Yes, you can go back and add any unexpected time off you may have taken.

Will part-time hourly employees need to enter absences into Workday?
No, part-time hourly employees do not need to enter any time-off they may be taking.

Can managers submit leave on an employee’s behalf?
Yes, this can be done through the Time and Absence App.
