Charter Application

Application Instructions

Currently enrolled Santa Fe College students may initiate a charter application for a student organization. Each student organization or club must complete the application to charter or recharter a club every fall semester. In addition, each club president or designated officer must update the club roster. The application process requires the following steps.

Step 1

This Student Organization Charter Form submitted with the names and contact information for the organization's officers and advisors.

Step 2

The following are required to charter an organization at Santa Fe College:

  1. Advisor - Each Organization must have an SF employee to serve as the advisor. The advisor must be approved by the college and the advisor's immediate supervisor to serve in this role.
  2. Three Officers - Officers are required to charter/recharter (e.g. President, VP, and Senator).
  3. Constitution - The organization's constitution (a constitution or bylaws) containing many items relevant to the student organization or club chartering from College Rule 7.30 and 7.30P:
    1. A statement of purpose consistent with the college mission statement;
    2. A statement reflecting a commitment to allow all SF students to participate, as outlined in Rule 7.30;
    3. A statement ensuring the organization does not practice hazing of any kind, as outlined in Rule 7.23;
    4. A statement ensuring the organization will abide by college rules;
    5. A statement ensuring that students serving as officers in the organization will remain in good academic standing (2.0 minimum cumulative GPA or higher GPA as determined by the organization) and maintain current enrollment; Advisors are responsible for checking each officers' GPA.
    6. Signatures of the organization president and the faculty/staff advisor(s).

To help organizations create a document including the above-mentioned items, Student Life has created a "constitution template" to serve as a template. Please modify the sample constitution to match your organization's elections and other relevant club information. You may find the Constitution Template on the Student Resources page.

Once the Charter Application Form is submitted, a Student Life staff member will review the required documentation. Assuming the documents are in order, the organization's members will be invited to a meeting of the Student Senate to introduce their organization and to accept a voting seat in the Student Senate. The Student Senate meets each Wednesday at 4pm in Building WA, Room 108.

Chartering Completion:

  1. Each student organization / club must submit this form to Student Life and add/update appropriate officer and constitution information;
  2. Once the previous steps are completed and approved, the student organization / club may join SG / Senate to vote on important student issues and resolutions, access SG allocated student organization funds, and exchange information.
